1. Information We Collect

OneSiteKit ("OSK", "we", "us") collects information you provide when creating an account and using the platform, including name, email address, employer/company information, and content you upload or enter (asset records, documents, form submissions, photos, and similar data).

We also collect standard usage data such as login timestamps, IP addresses, and browser/device information for security and operational purposes.

2. How We Use Your Information

We use your information solely to operate and improve OneSiteKit:

• To authenticate your account and provide access to the platform
• To send transactional notifications you subscribe to (including optional SMS alerts — see the SMS section below)
• To diagnose technical issues and maintain platform stability

3. We Do Not Sell Your Information

We do not sell, rent, lease, or trade your personal information or your organization's data to any third party for any purpose, commercial or otherwise.

4. Data Sharing

We do not share your information with third parties except:

• With service providers strictly necessary to operate the platform (e.g. cloud hosting, email delivery, SMS delivery), bound by confidentiality obligations
• When required by law, regulation, or valid legal process
• To protect the rights, safety, or property of OneSiteKit, its users, or the public

5. Data Security

OneSiteKit makes reasonable technical efforts to protect data stored on the platform, including encrypted transmission (HTTPS) and access controls. However, no system is inherently secure, and we cannot guarantee absolute security.

6. Data Retention

We retain account and usage data for as long as your organization's account is active. Upon account termination, data may be retained for a limited period for legal and operational purposes before deletion.

7. Content Removal Requests

To request removal of content stored on the platform, email [email protected] with a description of the content and the reason for removal.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Continued use of the platform after changes are posted constitutes acceptance of the updated policy.

Program Description

Through the "OneSiteKit Admin SMS Notifications" program, organization administrators and owners may choose to receive SMS alerts for time-sensitive operational events within their OneSiteKit organization, including:

• New user registration and access requests pending approval
• Asset sign-out and return requests
• Urgent-level environment inspection findings
• Account recovery confirmations

SMS is an optional supplement to the platform's existing in-app and email notifications.

How Users Opt In to SMS

SMS notifications are strictly opt-in and disabled by default. The opt-in process works as follows:

1. An organization administrator or owner navigates to Admin → Notifications within their OneSiteKit account.
2. They locate a recipient (another admin or owner in their organization) and select a delivery schedule: "Always" or "Monday–Thursday."
3. SMS is sent only to the mobile number already registered on that user's own OneSiteKit profile — no phone numbers are collected from outside the platform.
4. By enabling SMS for their number, the recipient confirms they consent to receive these messages at that number.

Only an organization's own admins can opt in from inside the platform. No phone numbers are collected from the public.

Message Frequency

Message frequency varies and is event-driven — a message is sent only when a qualifying operational event occurs during your selected schedule. Most recipients receive only a few messages per week; volume depends on your organization's activity.

Message & Data Rates

Message and data rates may apply, depending on your mobile carrier and plan. OneSiteKit does not charge for SMS notifications, but your carrier's standard messaging and data charges are your responsibility.

Opt-Out & Help

You can opt out at any time by replying STOP to any message — you will receive a one-time confirmation and no further texts will be sent. Reply HELP for assistance. You or your administrator can also disable SMS at any time in Admin → Notifications by setting the schedule to "Off."

Your Number Is Not Sold or Shared

Your mobile number and SMS opt-in are used solely to deliver the OneSiteKit Admin SMS Notifications described above. We do not sell, rent, or trade your mobile number or SMS consent to anyone, and no mobile information is shared with third parties or affiliates for marketing or promotional purposes. Your number is transmitted only to our SMS delivery provider strictly to send the messages you requested, and for no other purpose.
